Applicant Privacy Notice
Please read this Privacy Statement carefully. It explains why and how we collect your personal data, how we protect it and for how long we keep it. We will keep your data as secure as reasonably possible, protect it from loss and unauthorised disclosure or access, and we will treat your personal data in accordance with applicable data protection laws, in particular the General Data Protection Regulation 2016/679 of 27 April 2016 ("GDPR").
This Privacy Statement has been prepared as a Q&A list (Q&A).
- Who will process my personal data?
The joint controllers of your personal data are the following legal entities (hereinafter: "Bike Republic"):

Company number: 0823.778.933 and its affiliated companies within the meaning of Article 11 of the Companies Code. You can read the list of companies at the bottom of this statement.
In order to make it easier for you to assist you with regard to your rights in relation to your personal data, the joint controllers have appointed Bike Republic NV as a central point of contact with regard to providing information about your personal data and for exercising your rights (see also point 8). - For what purpose and on what legal basis are my personal data processed?
The purpose for which your personal data is processed is to register your application for employment in our company, which means that Bike Republic will process all the necessary data required to be able to assess your application with a view to a possible recruitment.
The processing of your personal data is therefore necessary in order to be able to take measures prior to concluding an employment contract. The legal basis for this is the contractual, i.e. the interest of evaluating you before making you an offer of employment.
In the event of a positive evaluation and decision to hire you, we will also use your personal data to prepare the employment contract.
In the event of a decision not to hire you, we will keep your personal data for a specific period of time (see point 7) in the legitimate interest of Bike Republic, in particular to be able to contact you in the future when any future opportunities match your profile and to safeguard Bike Republic's interests in the event of any disputes.
- What categories of personal data will be processed?
Personal data includes all information that relates to you or on the basis of which you can be identified.
Anonymous data, which does not allow us to identify you, is therefore not considered personal data.
Bike Republic collects and processes the data you provide via the recruitment website, by filling in forms and/or via CVs and cover letters. Bike Republic may also collect and process information you provide during personal contacts, phone calls, and in email or letter. For certain vacancies, Bike Republic uses service providers (e.g. a selection agency) and Bike Republic also processes the personal data it receives from the service providers.
For the purposes mentioned above, the processing of personal data includes:
- standard information related to your identity (surname, first name(s), address, etc.)
- personal data (place and date of birth, nationality, gender, telephone number, email address, language, any names of family members working at Bike Republic ...)
- your photo if you voluntarily provide it to us (e.g. included in your CV)
- data related to your professional experience (profile, details of former employers, termination of last employment) and the work performed, special products, if relevant to the position, etc. including a reference check if you have provided references in your CV and if you have given your consent to do so
- data related to your education (diplomas, certificates, internships, special training courses, etc.)
- data relating to your current professional situation (employee, self-employed, unemployed person (entitled to benefits), registered with VDAB, Actiris, Forem, etc.)
- Language skills
- if applicable: whether or not you have a work and/or residence permit for the European Economic Area (EEA)
- any other personal data that you provide to us when you apply for a job, in connection with the performance of the job (if applicable, how you stand with regard to Saturday work, Sunday work, variable schedules, current salary package and salary expectations, other pending applications, etc.)
- all personal data (other than those mentioned above) that must be processed by law
You are not obliged to provide us with this data. If you don't do this, it may affect your chance of being hired.
- Who will have access to my personal data?
Bike Republic's employees who participate in recruitment and selection, the hiring manager and the line manager will have access to your personal data on a strict 'need to know' basis for the purposes mentioned above. In addition, support employees will also have access to certain personal data (for example; certain IT employees, our supplier of the ATS package CV Warehouse).
We do not pass on your data to other third parties, with the possible exception of 'assessment centres' etc. or any other third party if this is relevant to the recruitment procedure (for example, the temporary employment agency in the context of a vacancy as a temporary worker at Bike Republic if you have previously applied directly to Bike Republic).
- Will my personal data be transferred outside my country of residence?
Your personal data is stored in Belgium.
We take the necessary measures[1] to ensure that your personal data is processed securely in accordance with this Privacy Statement and with European legislation.
- Will Bike Republic adopt automated decision-making?
Automated decision-making is defined as decisions about individuals that are based solely on automated data processing and that produce legal effects or significantly affect the individuals concerned.
Bike Republic states the principle of not using automated decision-making as described above. Bike Republic does not base its decision to recruit you solely on automated data processing of your personal data.
- How long will my personal data be kept?
We will retain your personal data for the period necessary in light of the purposes mentioned above.
If the application does not result in an employment relationship, your personal data will be kept for two years after the end of the recruitment procedure, for the purposes discussed above under point 2.
- What rights can I invoke in connection with the processing of my personal data by Bike Republic?
You can contact Bike Republic at any time for assistance with the application or the management of your personal data. You also have the right to contact Bike Republic at any time with the request to:
- access to your personal data (this also includes the right to request a copy, you can consult your data by logging in to the application website)
- rectification of your personal data, including the completion of incomplete data if it is not kept accurately (you can also do this rectification by logging in to the application website)
- have your personal data erased as soon as there is no (longer) lawful ground for processing them;
- restrict the processing of your personal data
You have the right to object at any time to processing for which Bike Republic would have based itself in point 2 on the legitimate interest.
These rights are not absolute: Bike Republic may have grounds for not complying with your request or partially complying with it.

You also have the right to lodge a complaint with the Data Protection Authority if you believe that Bike Republic has not acted in accordance with data protection legislation.
- Changes
We reserve the right to change this Privacy Statement from time to time, within the limits of applicable privacy and data protection regulations. To stay informed of any changes, we recommend that you visit this page regularly.
