GCE – Recruitment Privacy Notice

 

This Recruitment Privacy Notice explains how GCE and its affiliates handle the personal data of their (potential) job applicants. More specifically, it covers:

  • Application of this notice.
  • What personal data do we collect?

Application of this notice.

This Recruitment Privacy Notice applies to:

  • GC Europe N.V., with registered office at Interleuvenlaan 33, 3001 Leuven, Belgium, with company number BE0452.407.307
  • GC Europe N.V.’s Affiliate entities as mentioned in Annex 1, whereas GC Europe N.V. acts as processor for the Affiliate entities

Hereinafter together referred to as “GCE”.

We are committed to protecting your privacy and handling your personal data in an open and transparent manner, and in compliance with applicable data protection laws. These include the EU General Data Protection Regulation (Regulation (EU) 2016/679 – "GDPR"), the UK General Data Protection Regulation ("UK GDPR") as retained under the Data Protection Act 2018, and the Swiss Federal Act on Data Protection (FADP).

When we refer to “our Website” or “this Website” in this policy we mean the specific webpages with a URL commencing https://www.gc.dental/europe/ or https://www.gc.dental/europe/en/career.

In this privacy policy, your information is sometimes called “personal data” or “personal information”. We may also sometimes collectively refer to handling, collecting, protecting and storing your personal information as “processing” such personal information.

 

 

What personal data do we collect?

When you apply for a specific role or apply spontaneously, we collect and process the information that you provided to us. This includes information provided through an online job site, via email, in person during interviews and/or by any other method. We also keep a record of that correspondence.

The personal data that we collect or obtain might include:

  • your first name;
  • your last name;
  • your date of birth;
  • your email address;
  • your telephone number;
  • your resident address;
  • your qualifications;
  • your skills and experience;
  • your employment history;
  • your picture;
  • your motivation letter;
  • your resume.

How do we use your personal data?

We use information held about you in the following ways:

  • To consider your application in respect of a role for which you have applied.
  • To consider your application in respect of other roles.
  • To communicate with you in respect of current and/or future recruitment processes.
  • To enhance any information that we receive from you with information obtained from third party data providers.
  • To find appropriate candidates to fill in our job openings now or in the future.
  • To start the onboarding process in case of successful recruitment.

The legal grounds for processing your personal data.

We rely on legitimate interest as the lawful basis on which we collect and use your personal data. Our legitimate interests are the recruitment of staff for our business.

Who do we disclose your personal data to?

We may share your personal data with any member of GCE and other trusted third parties who perform functions in relation to recruitment on our behalf and provide services to us such as recruitment agencies. We require minimum standards of confidentiality and data protection from such third parties.

If you apply on the GCE Jobpage your personal data will also be processed by our partner CVWarehouse who hosts our candidate recruitment portal on our website.

Protection of your personal data.

We use a range of physical, electronic and managerial measures to ensure that we keep your personal data secure, accurate and up to date. These measures include:

  • education and training to relevant staff to ensure they are aware of our privacy obligations when handling personal data;
  • technological security measures, including fire walls, encryption, anti-virus software and restricted access to recruitment information;
  • physical security measures, such as staff security badges to access our premises and locked cabinets for recruitment information in paper format.

Although we use appropriate security measures once we have received your personal data, the transmission of data over the internet (including by e-mail) is never completely secure. However, we will endeavor to protect this information to the best of our ability.

How long do we keep your personal data?

If you apply directly to GCE via hr.gce@gc.dental or our dedicated LinkedIn page, then we retain your personal data for as long as necessary for the recruitment process.

If your application is successful, your information will be retained as part of your employment record. As part of the onboarding at GCE this employment record is prepared by HR. In the employment record all relevant documents are stored like, but not limited to, the below list:

  • Employment contract;
  • Resume;
  • Motivation letter;
  • Copy of relevant diplomas;
  • Copy of relevant training certificates.

In the employment record, your personal data will be kept as long as the employment contract is ongoing, and a minimum of 10 years thereafter depending on the types of documents, which are subject to legal terms.

If your application is denied, your personal data will be deleted.

For candidate data in CVWarehouse-profiles, including IP-addresses linked to candidates, CVWarehouse maintains a retention policy whereby they delete data after 10 years inactivity. For the personal mailings they maintain the same policy given that those mailings are linked to the profile, however you may unsubscribe at any moment for these mailings according to the CVWarehouse privacy policy.

Your personal data as a candidate will not be kept in the CVWarehouse database when you are not making use of their services anymore by deleting your profile, using the option presented in your personal profile.

CVWarehouse will also delete your personal data if you request, either directly to them, or via GCE, to delete your profile. Any deletion request will result in GCE not being able to consult your personal data anymore as your profile will be deleted.

Where are my data stored?

The personal data that we collect from you are primarily stored in the region relevant to you, which means: within the European Economic Area (“EEA”) if you are based in an EEA country, within the United Kingdom (“UK”) if you are based in the UK; and within Switzerland if you are based in Switzerland.

However, in certain cases, your personal data may be transferred to and processed outside your region, including by staff working for GCE or one of our suppliers operating outside your region. Such transfers will only occur where the recipient country’s data protection laws have been recognised as adequate by the European Commission, the UK Information Commissioner’s Office, or the Swiss Federal Data Protection and Information Commissioner, or where appropriate safeguards are implemented to protect your data in compliance with applicable data protection laws.

Your rights.

You have various rights in relation to your personal data. In particular, you have a right to:

  • obtain confirmation that we are processing your personal data and request a copy of the personal data we hold about you;
  • ask that we update the personal data we hold about you, or correct such personal data that you think is incorrect or incomplete;
  • ask that we delete personal data that we hold about you, or restrict the way in which we use such personal data;
  • withdraw consent to our processing of your personal data (to the extent such processing is based on consent);
  • receive a copy of the personal data concerning you, which you have provided to us, in a structured, commonly used and machine-readable format and to transmit such personal data to another party (to the extent the processing is based on consent or a contract);
  • object to our processing of your personal data.

If you are unhappy with the way we have handled your personal data or any privacy query or request that you have raised with us, you have the right to file a complaint with the relevant Supervisory Authority in your jurisdiction:
