PRIVACY POLICY - Recruitment
1. Introduction
At Panos, we take our obligations under privacy and data protection legislation seriously. This privacy policy is designed to help you understand what personal data we collect for recruitment purposes, why and how we use it and with whom we share it. It also explains the rights you have with regard to your personal data, including how you can contact us or submit a complaint.
2. Who is responsible for processing your personal data?
When you apply to PANOS, you provide certain personal data. The entity that is responsible for processing your personal data is DELI NV, a company established under Belgian law with registered office at 9420, Erpe-Mere, Joseph Cardijnstraat 52, Belgium and VAT number BE 0422.571.986 (hereinafter "DELI” or “We”).
For questions regarding this policy or to exercise your rights regarding your personal data, please contact us by writing to the aforementioned address or by emailing: privacy@llbg.com
3. What types of personal data do we collect?
We process the personal data that you provide us via our website, such as your contact details, the information in your CV and any attachments such as diplomas, certificates etc. We may also collect information about you from publicly available sources such as your LinkedIn profile, insofar as permitted under applicable law. We may also process information that you provide us with during the recruitment process, such as financial information, references and the results of competency tests, personality tests and background checks.
We do not process any special categories of personal data that reveal racial or ethnic background, political opinions, religious or philosophical beliefs, trade union membership, data about health or data about a person's sex life or sexual orientation.
4. Why do we process your personal data?
We process your personal data for one or more of the following recruitment and selection purposes:
- To manage the recruitment process.
- To communicate with you during the recruitment process.
- To invite you to and register you for our PANOS recruitment events.
- To inform you about other vacancies within the PANOS network as long as you have given your explicit consent for this.
- To analyse and improve the recruitment process.
5. Legal basis for processing
We process your personal data on the basis of a legitimate interest, namely evaluating candidates that spontaneously provide their personal data via our website or in response to a specific vacancy posted within the PANOS network. It also provides a legal basis for potential disputes with regard to discrimination laws.
If you do not agree with our stance on personal data and do not want your personal data to be processed on the basis of legitimate interest, please contact us, as you have the right to withdraw from or object to the processing at any time. In this case, we will not be able to take your application into consideration.
Some processing activities are necessary in order for us to take steps prior to entering into an employment contract with you.
If we process your personal data for purposes for which your explicit permission is required, we will obtain this permission before the processing begins.
6. With whom do we share your personal data?
PANOS is a franchise concept. This means that DELI is the franchiser and all PANOS shops are operated by independent franchisees. In principle, we only share your personal data with the franchisee that operates the specific PANOS shop to which you have applied.
However, in exceptional cases, we may share your personal data with other third parties:
- For purposes relating to our internal organisation to enable our colleagues within DELI, who have a strict need to know and on a confidential basis, to evaluate your application.
- When useful or necessary for the purposes, to processors who process on our behalf by carrying out specific (processing) activities, such as CV Warehouse, with whom we collaborate via our recruitment site, or to IT, hosting and communication service providers, recruitment agencies or processors who process personal data for competency and personality tests.
- To authorities when required by legal and/or administrative decisions. In such cases, we enter into a processing agreement with these external parties who have access to your personal data for the purposes of carrying out their services.
7. How long do we store your personal data?
We store your personal data for the duration of the recruitment process and up to a maximum of 6 months following the end of this process (legal basis in discrimination cases). If you would like your personal data to be deleted from our database, you can send a request at any time to privacy@llbg.com and we will delete your personal data from our database within a month of receiving your request. If you ask us to remove your personal data during the application process, we may be unable to take your application into consideration.
8. What are your rights?
You have various rights with regard to accessing and controlling your personal data, including:
- Right to withdraw consent: If you have given us permission to process your personal data, you can withdraw this consent at any time.
- Right to access: To receive confirmation and information about the processing of your personal data.
- Right to rectification: To ask for your personal data to be rectified if it is incorrect or incomplete.
- Right to erasure: To remove/encrypt your processed personal data (limited to personal data that according to law can only be processed with your consent and in the event that you withdraw this consent).
- Right to restriction: To restrict the processing of your personal data (under certain circumstances, such as if you call into question the correctness of the data).
- Right to object: Insofar as we base the processing of your personal data on our legitimate interests, you have the right to object to this use.

9. Complaints
If you have complaints about the way in which DELI processes your personal data, you can submit a complaint to the Belgian Data Protection Authority www.dataprotectionauthority.be.
